Jake developed this way of working while leading operations in a games-focused education and employability organisation. Several programmes, teams, partners, deadlines and reporting requirements all had to be kept moving at the same time.
Information was spread across email, meetings, documents, spreadsheets and separate task systems. Getting a reliable picture meant checking several places and relying too much on memory.
Jake rebuilt the setup around:
- one live view of active work
- simple records for open decisions
- regular checks for deadlines, risks and reporting
- better links between the documents and information already in use
- scheduled summaries of what needed attention
- AI used for drafting or summarising where it genuinely helped, with people making the decisions
Magna Creative now uses the same principles in its own work.
The useful part was not AI or any one tool. It was being able to see priorities, open decisions, responsibilities and risks without piecing the picture together by hand.
